Summary: The Dental Manager leads day-to-day clinical and administrative operations for all fixed-site and school-based dental services. Working under the direction of the Director of Operations, clinical oversight from the Dental Director, and in collaboration with other Operations departments, Finance and Quality, the position ensures:

ESSENTIAL DUTIES AND RESPONSIBILITIES:
  • Communication: Crafts concise, audience-appropriate messages; facilitates cross-departmental collaboration.
  • Decision-making: Uses data, policy, and sound judgment to act quickly.
  • Delegation/Coaching: Matches tasks to skills, provides feedback, and recognizes excellence.
  • Process Improvement: Applies LEAN/PDCA to eliminate waste and improve throughput.
  • Technology Proficiency: Advanced Epic Wisdom and MS Office skills; comfortable with SSRS, Epic Reporting Work Bench, Slicer Dicer and other reporting systems.
  • Cultural & Spiritual Sensitivity: Delivers care consistent with Grace Health’s faith-based mission and the needs of vulnerable populations.
  • Initiative: Takes prompt action to accomplish objectives. Seeks to identify and resolve problems without being prompted.
KEY FUNCTIONS:
Leadership and Staff Management
  • Maintain an engaged, competent team by recruiting, onboarding, coaching, and evaluating all dental support personnel.
  • Develop individual growth plans; initiate corrective action when needed.
  • Forecast staffing levels using patient demand and productivity data.
  • Model servant leadership and reinforce Grace Health values.
  • Create and revise job descriptions of dental support staff.
  • Oversee staff schedules; approve timesheets and PTO requests.
  • Mentor and support dental leaders within the department.
Operational Excellence
  • Create, update, and enforce SOPs for clinical flow, infection prevention, instrument processing, equipment maintenance, and laboratory processes.
  • Coordinate staff scheduling and leave approvals to optimize chair utilization and meet visit-length standards.
  • Monitor operational data through reporting; intervene to resolve bottlenecks and optimize resource utilization.
  • Develop and maintain policies and procedures; enforce policies and procedures with dental staff.
  • Ensure dental equipment and supplies are maintained and managed appropriately.
  • Develop and maintain dental laboratory processes to ensure efficient communication, use of resources, and compliance.
  • Learns and understands all current operational workflows and processes for dental services; seeks out better processes and deeper understanding of workflows and technology for improvement.
Quality, Safety, and Compliance
  • Lead Quality Assurance and Infection Control initiatives for dental programs; ensure timely completion of audits and closure of action plans.
  • Maintain continuous readiness for HRSA, OSHA, and other reviews/audits.
  • Track adverse events, patient complaints, and risk exposures; reduce risks by collaborating with other departments to improve workflows and processes.
Financial and Productivity Management
  • Develop the annual dental budget in partnership with Finance and the Director of Operations; manage department based on expense and revenue targets.
  • Produce routine KPI reports to monitor financial and productivity health, identify opportunities for improvement, and track progress towards goals.
  • Monitor dental front-office and billing data (eligibility, prior auth, patient balances) to minimize leakage and maximize net collections.
  • Drive utilization initiatives (outreach, recall systems, school consents) to achieve a high schedule fill rate.
Strategic Planning and Program Growth
  • Participate in strategic planning, service-line expansion, technology integration (e.g., Epic Wisdom enhancements), and facility upgrades.
  • Conduct market and community-needs assessments; recommend new services and delivery models.
Community and School-Based Services
  • Ensure agreements are in place with current schools; seek out and obtain agreements with new opportunities for school-based services.
  • Coordinate dental presence at outreach events, oral-health education, and follow-up care in our communities.
  • Maintain compliance with Medicaid billing, documentation, and reporting requirements for school-based programs.
  • Maintain relationships for services with community partners; seek out new opportunities to partner with community organizations to enhance oral health for our communities.
Other
  • Travels to service site locations to ensure compliance with policies and procedures, build relationships, and identify opportunities for improvement.
  • Fills in for leaders or staff when staffing levels are low, as appropriate.

EDUCATION and/or EXPERIENCE
  • High School graduate or equivalent required.
  • Associate/bachelor’s degree in business or administrative certification in healthcare or public health related strongly preferred.
  • At least 3 years of administrative/high level clerical experience.
  • Experience with dental services or school-based health program is required.
  • Basic Life Support (BLS) certification required.
  • Participates in continued education.
